#sparkleinitiative - a compliment, a smile, a pat on the back have the power to transform and move mountains.

Every day there's a chance to sparkle. We know how that sounds! We, along with so many of you, get bogged down when watching the news or reading negative things right in your Facebook timeline. And sometimes those things are heavy and genuinely debilitating. We aren't suggesting a Pollyanna attitude. But close.  How do we handle it all without getting overwhelmed? Especially during the holidays?

Enter attitude. It's that thing only you can control on a daily basis, and it has the power to help or harm. So when we say that a little bit of sparkle can solve most problems, what we mean is that focusing on how to make a situation better, by doing only what we can control, can turn negatives into positives.

This holiday season is a great time to test out sparkle at holiday gatherings, and getting into the sparkly mood. Remember, the only thing you can control is yourself. Let go of other people's opinions and allow only the things that exude positivity into your realm of influence.

The Office Admin's Guide to Printer Buying: What You Actually Need to Know

If you're the person in charge of ordering the printer, you're not just buying a machine. You're buying a relationship with a device that 30 people will yell at you about when it jams. I manage office supplies and equipment for a 75-person company—about $40k annually across a dozen vendors. After consolidating our printer fleet in 2023, here are the questions I wish I'd asked sooner, answered from the trenches.

1. "What's the real cost per page? And why should I care?"

This is the bottom line question. The sticker price is just the entry fee. The real cost is in the ink or toner. I learned this the hard way. In 2021, I bought a cheap inkjet because the printer itself was a no-brainer price. Six months later, I was spending more on replacement ink cartridges than I did on the machine.

For business printing, you want to look at laser printers with high-yield toner. Take a model like the Brother MFC-L3720CDW color laser. The upfront cost is higher than an inkjet, but the cost per color page is way lower. Brother's INKvestment tank models (like the MFC-J1010DW) are built for this—they come with super high-yield ink bottles. Do the math: if your team prints 500 pages a month, a difference of 2 cents per page adds up to $120 a year. That's real money.

"I've learned to ask 'what's the cost to keep it running?' before 'what's the price.' The vendor who talks toner yield first is usually thinking long-term."

2. "Is a 'workgroup' or 'department' printer worth the extra money?"

If more than 10 people will use it regularly, yes, absolutely. This gets into technical territory a bit, but from a buyer's perspective, it's about durability and duty cycle. A "home office" printer might be rated for 1,000 pages a month. A "workgroup" model like the Brother HL-L8360CDW is built for 4,000 pages a month.

When I took over purchasing in 2020, we had a desktop printer in a 15-person department. It died after 11 months. The repair cost was 80% of a new one. We replaced it with a heavier-duty model, and it's been running for 3 years now. There's something satisfying about a machine that just works. The higher upfront cost bought us reliability and no more 3am worry sessions about a dead printer before a big client meeting.

3. "What's the deal with drivers and software?"

This is the most common post-purchase headache. You get the shiny new printer, and then you can't get Janet in Accounting's old PC to talk to it. Always download the latest driver from the manufacturer's website before you even unbox the printer. Bookmark the support page. For example, you'd search for "Brother HL-L8360CDW driver" and get it directly from brother-usa.com.

Trust me on this one: using the generic Windows driver is a recipe for weird formatting issues and failed scans. I'm not an IT expert, but from a procurement perspective, a printer with easy-to-find, reliable drivers (and clear setup guides for Wi-Fi) saves you a dozen support tickets. That's time you don't get back.

4. "Color or black-and-white?"

You have to be honest about your needs. For probably 80% of internal documents, mono is fine and cheaper to run. But if you ever print charts for board meetings, marketing materials, or anything client-facing, you'll want color.

We went with a color laser (a model similar to the Brother MFC-L3770CDW) for our main office hub. It's more expensive per page than a mono laser, but it eliminated the "I need to print this in color, where do I go?" panic. It also scans in color, which is pretty useful for archiving old, signed contracts. The key is to set default printing to black-and-white to save costs, and let people choose color only when needed.

5. "What are the hidden costs nobody talks about?"

Here's what you need to know: the quoted price is rarely the final price. I look for three things:

  1. Setup & Installation: Is it plug-and-play, or do you need a tech? Some business-grade printers almost assume you'll have IT set them up on the network.
  2. Required Accessories: Does it come with a full set of starter toner/ink, or are they "starter" cartridges that are half-full? A printer that ships with high-yield starter toner is a good sign.
  3. Future Parts: Ask about the drum unit. In many lasers, the toner cartridge and the drum are separate. The drum lasts longer but costs $100+ to replace. Know the replacement cycle and cost.

The vendor who lists all these potential future costs upfront—even if the total looks scarier—usually costs less in the end because there are no surprises. Take it from someone who had a $400 drum replacement surprise in year two.

6. "How important is the warranty and service?"

For a critical office machine, it's a deal-breaker. Check the standard warranty (1 year is typical) and what it covers. More importantly, look at the service options. Is there a local authorized repair center? What's the turnaround time?

In our 2024 vendor consolidation project, I prioritized brands with strong service networks. A printer down for a week is a week of productivity lost. A next-business-day onsite service warranty might seem like an extra cost, but for a department that relies on printing, it's insurance. I'm somewhat skeptical of super-cheap brands that make you mail the whole printer in for service—that process can take weeks.

Final Thought: Think of the "Building Envelope"

This is a term I picked up. In construction, the building envelope is the physical separator between the conditioned and unconditioned environment. For your printer, think of its "envelope" as everything it needs to function reliably in your specific office environment.

That includes: the network it's on, the people using it, the volume of paper, the types of documents, and your internal support. A printer might be technically great, but if it's a nightmare to connect to your particular Wi-Fi, it's a bad fit for your envelope. Don't just buy specs. Buy for the environment it has to live in.

I'm not 100% sure what the perfect printer is for you, but if you ask these questions, you'll avoid the big mistakes. Roughly speaking, that saves you time, budget, and a lot of headaches.
